An office assistant provides essential administrative support by managing daily clerical tasks, including answering phone calls, greeting visitors, maintaining filing systems, data entry, and organizing office supplies. They ensure efficient office operations, often handling scheduling, mail distribution, and basic document preparation

Key Responsibilities

  • Clerical & Admin Support: Handling phone calls, emails, filing, scanning, copying, and maintaining digital or physical records
  • Visitor Management: Acting as the first point of contact to greet, welcome, and direct visitors and clients
  • Office Maintenance: Monitoring office supplies, restocking materials, and ensuring office equipment is functional.
    Scheduling & Coordination: Scheduling meetings, managing calendars, and arranging travel as needed. Mail & Shipping: Sorting incoming mail, managing deliveries, and preparing outgoing correspondence

Key Skills & Qualifications

  • Communication: Strong written and verbal communication skills.
  • Organization: Excellent time management and ability to prioritize tasks.
  • Technical Proficiency: Knowledge of Microsoft Office Suite (Word, Excel) and office equipment like printers/fax machines
  • Attitude: Professionalism, reliability, and a positive, helpful demeanor.
  • Experience: High school diploma or equivalent is required; prior experience in an office environment is often preferred
